2025 EXHIBITOR INFORMATION

  1. DRAFT EXHIBITION FLOOR PLAN
    • Please below the DRAFT Floor Plan for the CDIC 2025 Exhibition space – Halls FG - at the Adelaide Convention Centre (ACC).

    • VIP Notes:

      • This Draft Floor Plan is subject to change without prior notice and is not necessarily indicative of the final floor plan.

      • Once fully contracted, Exhibitors can advise in writing to Cal at PHAA of their 1st, 2nd and 3rd booth preferences, but the final floor plan may vary from this draft so as to accommodate the final number and size of all exhibition booths confirmed.

      • Final booth preferences are allocated in order of when the signed Sponsorship Agreement is co-signed by PHAA, and the sponsorship invoice is paid by the Exhibitor.
         

  2. EXHIBITOR HANDBOOK
    • Please read and ensure you comply with the ACC Exhibition Handbook. The handbook will have all the answers to your exhibitor queries.

  3. CUSTOM STAND DESIGN APPRAISAL
  4. STANDARD EXHIBITION BOOTH
    • If you have a standard exhibition booth included in your sponsorship agreement (i.e. not a custom-built booth), Harriet from Adelaide Expo Hire (AEH) will contact you directly to discuss your booth. 

    • Booth package inclusions can be seen in the CDIC25 Prospectus (page 15 &16)

    • See section 8 of this webpage for additional items available to hire from AEH

  5. FREIGHT FORWARDING
    • All exhibitors must use a Freight Forwarding organisation for goods going in and out of the Adelaide Convention Centre.

      • GEL Events have been contracted as the preferred Freight Forwarder for the CDIC25.

      • Quote request: Deadline to submit quote is Mon 26th May 2025

      • Onsite bookings: All forklifting and storage requirements must be submitted via the form.

      • Contact: NAME 

      • Labels: Freight must be labelled with stand name & stand number

        • If using GEL, they will provide you a label

        • If couriering items direct, please use this label

        • Bump in:

          • Deliveries: Sunday 8th June 2025 from 7am – 11am

          • Build access: Sunday 8th June 2025 from 9:30am – 2:30pm
             

        • VIP Notes:

          • Monday 9 June 2025 is a public holiday in South Australia and as such, the venue (ACC) will be closed on that day.

          • No deliveries or access will be granted to anyone on Monday 9 June 2025.
             

        • Bump Out:

          • Collections: Thursday 12th June 2025 until 9pm

          • Build Access: Thursday 12th 4pm – 9pm
             

  6. VENUE PERMITS
  7. VENUE BOOTH CATERING
    • If you are planning on having a Coffee Machine on your stand, you will need to complete the Catering Request Form attached.

    • If you would like to have any 'other food or beverages' at your exhibition stand you must get written approval prior from the PHAA Events Manager

      • Email the PHAA Events Manager - Anise Clarke with explicit details of your proposed catering (and copy Cal) 

      • These 'Other' Catering requests must be received by the Anise Clarke at PHAA (and copy Cal) no later than 22 May 2025
         

    • VIP Notes:

      • Beverages: PHAA events are required to meet public health practices when it comes to service of beverages. This includes ensuring plain drinking water is provided, still or sparkling, excluding bottled water. Service of sugar sweetened beverages (for example soft drink, fruit juice) are kept to a minimum ensuring that adequate alternatives, for example fruit infused waters are available. Hot beverages for example, tea and coffee, should be served with reduced and low-fat milk options provided.

      • Food: As a minimum, we would recommend that suppliers select healthy foods and drinks (five food group foods) and limited discretionary foods consistent with the NHMRC dietary guidelines available at: www.eatforhealth.gov.au.

      • Waste Avoidance: Avoidance of disposable plates, containers, utensils, unless they are recyclable. We encourage you to avoid single use cups, plates, cutlery and packaging. Food and beverages should be served in reusable, washable containers. Reduction of waste by only supplying what is needed. If there is waste food created, adopting initiatives such as distributing healthy perishable food to food rescue organisations.
